Job Description

Published: Nov 15, 2024 - An Advertising Assistant coordinating online and print ad traffic, managing ad submissions, and supporting event logistics. Responsible for vendor coordination, virtual booth setup, and executing marketing strategies for special events. Attends and manages all event aspects, while maintaining client and consumer relationships.

Key Responsibilities:
  • Assist sales team with managing orders, creative, inventory, and any other sales needs or requirements.
  • Lead sales efforts for classified ads including pricing and renewals.
  • Input advertising orders from local and national sales groups.
  • Input rate changes and make updates to rate cards and sales packages.
  • Work with outside national rep firm to obtain creative from clients.
  • Prepare the paper for Pressrun on a weekly basis including running subscription lists, sending files to approved printing shop and mail-house, and archiving of issues.
  • Prepare California Bountiful magazine for Pressrun on a semi-monthly basis including running subscription lists, sending files to approved printing shop and mail-house, and archiving of issues.
  • Work with Member Advocacy division to update member data to ensure integrity of subscription database.
  • Update demographic information for sales kits and company websites.
  • Work with Business Development Manager to update media kits, publishing schedule, inserts and special issues.
  • Process postage and printing invoices for payment including budget code information and routing through applicable departments for payment.
  • Monitor weekly BPA documentation and prepare BPA audit on a semi-annual and annual basis.

Additional Responsibilities:
  • Proactively use internal systems and processes to ensure all aspects of digital advertising campaigns are ordered and executed correctly.
  • Data entry into various systems for ad space reservations and creative design changes and approvals.
  • Provide owned and operated campaign support including local banner advertising, contests, and newsletter scheduling.
  • Create, analyze, and distribute campaign reporting for advertising sales.
  • Working knowledge of Adobe Creative Suite for some image conversions.
  • Assist in posting to our Advertising & Event related social media accounts.
  • Manage internal resources/processes and reporting to ensure that all aspects of campaign management are executed correctly.
  • Familiarity with all sales system processes and functionality.
  • Proactive communication with sales reps and clients to help execute campaign fulfillment and build relationships.
  • Adhere to all deadlines and assist reps in meeting deadlines.
  • Intentionally assist with campaign execution and client communication when sales reps are on leave.
  • Attend weekly sales meetings.
  • Work closely with managers through the sales organization to help implement new offerings to the reps.
  • Work closely with other advertising coordinators to cross-train on responsibilities and cover while out of office.
  • Seek to maintain a knowledge of digital products, industry trends, certifications.
