Position Overview

Ultimate Staffing Services is actively seeking a detail-oriented and proactive HR Assistant to join their client's team in California. This role involves supporting the HR department with compliance, reporting, risk management, and benefits administration. The ideal candidate will have strong analytical skills, excellent communication abilities, and a keen eye for detail. This position is perfect for someone with a passion for human resources and a commitment to ensuring a safe and compliant work environment.

Responsibilities

  • Ensure compliance with safety, labor, and benefits regulations by staying informed about laws and applying them to company processes.
  • Prepare and deliver reports on identified risks, findings, and recommended solutions to management.
  • Assist with tracking and analyzing employee activity, inventory, or other metrics to identify potential fraud or discrepancies.
  • Provide administrative support to the Office / HR Manager.
  • Assist with payroll processing tasks, including reviewing timesheets, verifying hours worked, and ensuring accurate and timely payroll submissions.
  • Reconcile benefit invoices to ensure accurate billing and timely payments.
  • Serve as the first point of contact for employee questions about benefits, referring complex issues to Senior HR staff as needed.
  • Perform routine field inspections to verify compliance with Title 8 regulations, ensuring employees have access to adequate shade, clean drinking water, and regular rest breaks as required by law.
  • Assist in creating and maintaining plans to handle natural disasters by securing equipment and protecting crops.
  • Audit vehicle/equipment maintenance logs to ensure compliance.
  • Gather and analyze data from internal and external sources to identify potential risks.
  • Assist in developing and implementing contingency plans for emergencies or business interruptions.
  • Monitor laws and regulations applicable to the agricultural industry; recommend updates to company policies as needed.

Qualifications

  • Strong analytical and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Ability to handle sensitive and confidential information with professionalism.
  • Proficiency in Microsoft Office Suite and HR/payroll management software.
  • 1-2 years of relevant experience required, with exposure to risk management or human resources functions.
  • Able to work outdoors to conduct field inspections in various weather conditions.
  • Must be able to lift up to 15 pounds occasionally.
