Position Summary:

The Dental Practice Manager oversees the operations of the Damien Center Dental Clinic (opening Q2 2025), ensuring high-quality patient care and efficient clinic management. This role combines administrative, operational, and leadership responsibilities to support the delivery of exceptional dental services. The Dental Practice Manager is responsible for supervising staff, optimizing workflows, managing budgets, and ensuring compliance with policies and procedures. This position also collaborates closely with other departments to integrate dental services into the broader health care continuum and uphold the Damien Center’s mission to address health inequities and improve access to care for underserved populations.

Duties and Responsibilities:

  • Provide leadership and oversight for day-to-day operations, ensuring efficient clinic workflows and a high standard of care.

  • In conjunction with the Dental Director, hire, train, supervise, and evaluate dental clinic staff, including patient coordinators, dental assistants, and hygienists.

  • Develop staff schedules, assign tasks, and ensure optimal productivity and revenue generation.

  • Conduct performance evaluations, foster professional growth, and address employee concerns in a supportive manner.

  • Collaborate with other departments, including Pharmacy, Behavioral Health, and Medical Services to integrate dental care into holistic treatment plans.

  • Manage program budgets, including monitoring expenses, forecasting, and ensuring alignment with organizational goals.

  • Develop and implement policies, procedures, and protocols to maintain compliance with all applicable regulations and standards.

  • Build and maintain partnerships with community organizations to promote access to dental care and strengthen community engagement.

  • Oversee patient scheduling, ensuring effective appointment management to maximize kept appointments and revenue.

  • Resolve patient complaints and concerns, providing solutions to enhance the patient experience.

  • Ensure compliance with Health Center and Ryan White Program policies regarding patient eligibility and the sliding fee scale.

  • Collaborate with the Revenue Cycle team to submit insurance claims, manage patient billing, and monitor accounts receivable and collections.

  • Implement and track clinic budgets, monitor financial performance, and identify cost-saving opportunities.

  • Order office supplies and clinical inventory, troubleshoot equipment issues, and ensure operational readiness.

  • Manage and optimize dental practice management software, including eClinicalWorks (highly desired).

  • Ensure compliance with HIPAA and other regulatory requirements related to patient records and clinic operations.

  • Participate in strategic planning initiatives to enhance clinic operations and expand access to dental care.

  • Support quality improvement programs, tracking performance metrics and identifying opportunities for growth and innovation.

  • Serve as a key member of the leadership team, contributing to organizational goals and fostering a collaborative environment.

  • Perform other special assignments and duties as needed to support dental operations and the Damien Center’s mission.

Education and/or Experience

  • High school diploma required.

  • 3-5 years of dental practice management experience, preferable in a Community Health Center/FQHC setting.

  • Advanced knowledge of dental terminology, insurance, and billing required.

  • Advanced knowledge of dental practice management software required, eClinicalWorks highly desired.

  • Bilingual in Spanish/ English is highly desired.

Possess superior organizational and administrative skills. Excellent interpersonal and communication abilities. Excellent computer skills in a Microsoft Windows environment. Ability to work independently and achieve high standards of productivity, achieving deadlines and with superior product results. Strong calendaring, organizational, and document management skills required. Proactive approach to solving problems and communicating to leadership. Knowledge of office management systems, procedures, and office equipment required. Excellent time management skills and ability to prioritize work.
